How the AI sorts a maintenance call at night

The agent identifies the tenant, asks the urgency questions you set and sends an emergency to the person on call before the tenant hangs up.

  1. 01

    It identifies the tenant

The agent greets the caller with your company name and finds the tenant by phone number, so the unit and the property are on the record before the first question.

  2. 02

It records the problem and asks your urgency questions

No heat in winter, a gas smell, fire, flooding, no power, a lockout: you define what counts as an emergency, and the agent asks the questions that tell them apart from a dripping tap.

  3. 03

It texts the on-call contact for an emergency

It sends an SMS with the unit, the problem and the callback number to the on-call maintenance contact, tells the tenant the callback window and reads out the safety instructions you wrote for that case.

  4. 04

It files routine requests for the office

A non-urgent request becomes a ticket in Zoho Desk or Jira, or an email to the office, with the unit and the problem. The agent tells the tenant when the office opens and the usual turnaround from your policy.

  5. 05

It rings your team when a person is needed

A gas smell, a fire or a flood goes to a person at once. The agent rings your on-call team in the Vomenta app and stays with the tenant until someone answers.

[ Setup ]

Set up your property management answering service in an afternoon

Four steps in the app, no developer needed unless you connect scheduling software through its API.

  1. 01

    Write the instructions

Tell the agent who it is, which questions to ask in which order, what counts as an emergency and what to promise about callbacks.

  2. 02

    Upload the knowledge base

Add the documents listed here as PDF, Word or text files. The agent answers price and policy questions from them.

  3. 03

    Connect the actions

Set the numbers and addresses that receive SMS and email, the CRM for leads and the team that gets the ring when a person is needed.

  4. 04

    Point your number at it

Forward your existing number, or add a time-check step to your call flow so only after-hours and overflow calls reach the agent. Then call it from your own phone.

What to upload to the knowledge base

  • What counts as an emergency, the safety instructions for each case and the on-call rota
  • Your properties, their addresses and the office hours
  • Available units with rent, deposit, availability date and pet policy
  • Application steps, the application link and the screening timeline
  • Rent payment options, due dates and late fees
  • Maintenance request policy and the usual turnaround by type
  • Move-in and move-out procedures, notice periods and inspections
[ AI vs human ]

AI or a human after-hours answering service for property management?

A live answering service puts an operator on the call. Vomenta puts an AI agent on it, with your own team one ring away.

[ Questions ]

Property management answering service: common questions

What does the AI do for a gas smell, a fire or a flood?

It reads out the safety instructions you wrote for that case, texts the on-call maintenance contact the unit and the problem, and rings your on-call team in the Vomenta app so a person joins the call. It stays with the tenant until someone answers.

Can it text my on-call maintenance contact?

Yes. During the call the agent can send an SMS, a WhatsApp message or an email to any number or address you set. It cannot forward the call itself to an outside mobile number. If you want the tenant connected to a phone outside the app, use a transfer step in a call flow.

Where do routine maintenance requests go?

The agent can open a ticket in Zoho Desk or Jira, email the office, or create the request in your property management software through its API with a custom HTTP tool. Every request is also saved as a summary on the tenant's contact.

How does it answer leasing calls?

From your listing data. Upload the available units with rent, deposit, availability date and pet policy to the knowledge base, or connect your listing software through its API. The agent answers from that data, records the prospect and texts the showing request to the leasing agent you set.

Can it read back a tenant's rent balance?

Yes, when the balance is available to it: through a custom HTTP tool to your property management software's API, or from the balance your staff keep on the tenant's contact. It reads back the amount and the due date and sends disputes to the office as a message.

What does it cost for a small management company?

One Starter seat at $29 per month plus the AI Voice Agent add-on at $35 per agent per month, which is $64 per month. Calls are metered at 1.5¢ per inbound minute, and AI usage is billed at the provider's cost plus a markup, or with no markup on your own provider key. There is no per-call or per-property fee.

Does it speak Spanish?

You can choose from more than 30 languages or let the engine detect the caller's language. Coverage depends on the engine you pick, and greetings and call endings are tuned for English and Turkish. Make a Spanish test call during the trial before you point your number at the agent.

How long does setup take?

An afternoon for most offices. Write the instructions, including the emergency definitions, upload the seven knowledge-base items listed above, set the on-call number and the team, and add the time-check step to your call flow. The 14-day free trial includes $25 of usage credit and needs no credit card.
